ORGANIZATION BACKGROUND
Action Against Hunger is an international humanitarian organization working to end hunger through programmes in health, nutrition, water, sanitation and hygiene, mental health and psychosocial support, food security and livelihoods, and social protection. The organization began operations in Nigeria in 2010 and currently implements humanitarian and development interventions in Northeast and Northwest Nigeria.
ROLE PURPOSE
The Warehouse Officer will manage warehouse operations in Katsina, ensuring accurate inventory control, proper stock documentation, quality monitoring, and the safe receipt, storage and dispatch of goods in accordance with Action Against Hunger procedures.
KEY RESPONSIBILITIES
INVENTORY AND STOCK CONTROL
- Receive and verify incoming and outgoing goods, checking quantity, quality and documentation.
- Report discrepancies, damages and documentation problems immediately.
- Maintain Stock Follow-Up records, bin cards, stock cards and other inventory documents.
- Monitor minimum stock levels, anticipate shortages and report replenishment needs.
- Review stock thresholds monthly using consumption trends.
- Conduct monthly physical stock counts and submit inventory reports.
- Identify slow-moving, obsolete or unused stock and report it appropriately.
- Ensure programme stock is released before the relevant grant period expires.
- Monitor the expiry dates of food, medicines and other time-sensitive items.
- Apply proper stock-rotation procedures and report items approaching expiry.
WAREHOUSE OPERATIONS AND STORAGE MANAGEMENT
- Control access to warehouse facilities and maintain custody of storage keys.
- Apply Action Against Hunger KitLogV3 procedures and warehouse standards.
- Keep storage facilities clean, organized, ventilated and accessible.
- Arrange stock for efficient storage, counting and movement.
- Record temperature and humidity daily.
- Separate food items from non-food items and store hazardous materials safely.
- Segregate and document damaged, infected or contaminated products.
- Coordinate disposal of expired or affected products with relevant stakeholders.
- Keep warehouses free from pests and coordinate fumigation when necessary.
DOCUMENTATION AND DISPATCH
- Prepare and maintain Stock Request Orders, Delivery Notes, waybills and other warehouse documents.
- Ensure stock owners verify requested items and sign the required documents before release.
TEAM SUPERVISION AND SUPPORT
- Supervise warehouse assistants and casual labourers.
- Oversee loading and unloading activities, labour requests, attendance and payment verification.
- Ensure team members follow organizational policies and warehouse procedures.
- Provide operational support and serve as backup during staff absences.
COORDINATION AND REPORTING
- Maintain communication with procurement teams to track and anticipate deliveries.
- Report warehouse risks, challenges and operational problems to the Logistics and Supply Chain Manager.
- Support continuous improvement in inventory and warehouse-management processes.
- Perform other related tasks while maintaining Action Against Hunger technical, ethical and gender-equality standards.
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration or a related field.
- At least three years of experience in stock or warehouse management.
- Previous experience in an international or national NGO environment is preferred.
- Good knowledge of warehouse and inventory-management practices.
SKILLS AND COMPETENCIES
- Microsoft Office proficiency, particularly Excel.
- Strong organization, record keeping, analysis and communication.
- Ability to prioritize and manage several responsibilities independently.
- Ability to perform effectively under pressure and in challenging or insecure environments.
- High integrity, accountability and professionalism.
- Good written and spoken English.
- Knowledge of Hausa.
- Commitment to humanitarian principles and Action Against Hunger’s mandate.
