UNODC is recruiting a Team Assistant to provide routine administrative and clerical support to its Operations Unit in Abuja, with particular responsibility for asset inventory management and the processing and verification of banking details. The role also supports correspondence, meetings, travel, records, data and general office administration.

The United Nations Office on Drugs and Crime (UNODC) is a lead United Nations agency addressing illicit drugs, transnational organised crime, terrorism and corruption. The UNODC Country Office for Nigeria (CONGA) works with the Nigerian Government and people to promote peace and security, human rights, development, justice, the rule of law and resilient societies.
The position is located in the Operations Unit of the UNODC Country Office in Nigeria, Abuja. The Operations Unit provides integrated finance, procurement, human resources and general administrative services to office units and projects.
JOB SUMMARY:
The Team Assistant will provide routine administrative and clerical support to the Operations Unit, with particular responsibility for maintaining asset inventory records and supporting the accurate and confidential processing of banking details.
KEY RESPONSIBILITIES:
01 | Support the maintenance of an accurate and up-to-date asset register for UNODC CONGA property, including information on asset location, condition and assigned custodians.
02 | Support the receipt, tagging and recording of newly procured assets in accordance with applicable United Nations asset-management procedures.
03 | Assist with periodic physical verification of inventory items, including spot checks and annual physical inventory counts, and reconcile physical findings with inventory records.
04 | Prepare reports on asset verification activities, identify discrepancies and assist with resolving inventory differences.
05 | Support preparation of asset disposal cases by gathering the required documentation for submission to the Property Survey Board.
06 | Maintain paper and electronic filing systems for asset-related documentation, including Purchase Orders, delivery notes and disposal records.
07 | Maintain and update vendor and supplier banking details, ensuring information is accurate and handled confidentially.
08 | Assist in verifying banking details against payment instructions and supporting documentation.
09 | Receive, record and archive incoming and outgoing correspondence from UNODC and its partners.
10 | Retrieve, gather and organise relevant background materials from sources including the Intranet, Internet and office files.
11 | Respond to routine internal and external enquiries, refer matters to the appropriate unit or contact where necessary, screen calls and receive or direct visitors.
12 | Provide logistical and administrative support for meetings, workshops and events, including arranging facilities and equipment and preparing participant documentation.
13 | Assist with travel arrangements, including flight reservations, accommodation and preparation of travel authorisations.
14 | Support collection and analysis of data and preparation of presentations and reports for information sharing, planning, decision-making, knowledge management and responding to queries.
15 | Assist with visualisations and updates to information materials such as web pages and brochures.
16 | Perform other work-related duties as assigned.
REQUIREMENTS:
01 | High school diploma or equivalent is required.
02 | At least two years of progressively responsible work experience in administrative services, inventory control, asset management, finance or a related field is required.
03 | The minimum experience requirement is reduced to zero years for candidates who possess a first-level university degree or higher.
04 | Experience using computers and office software packages, including Microsoft Word and Excel, is required.
05 | Experience using web-based management systems or inventory management systems is desirable.
06 | Previous experience within the United Nations system or a similar international organisation is desirable.
07 | Knowledge of general office and administrative support and administrative policies, procedures and processes is required.
08 | Strong communication, professionalism, accountability and organisational skills are required.
09 | Ability to analyse and interpret data in support of decision-making is required.
10 | English is required.
11 | Qualified candidates may be assessed through an assessment exercise and competency-based interview.
12 | The appointment is a fixed-term limited appointment initially for one year and is subject to local recruitment requirements in Nigeria.
