Position Description & Requirements

The International Committee of the Red Cross is recruiting a Supply-Chain Admin / Customer Service Desk Officer 1 in Maiduguri. The role is within the Logistics job family and is a full-time fixed-term position.

The officer will ensure that supply requests are handled efficiently and effectively to meet operational needs in the field. The role also involves making information about potential and confirmed orders available to logistics staff and internal clients requesting logistics services.

Key Responsibilities:

Receive, upload, process and assign Supply Requests in JDE ERP and other service/task management systems.

Manage requests within the Maiduguri area of responsibility and ensure relevant information is properly received, sent and filed.

Maintain correspondence with relevant stakeholders concerning supply requests.

Meet with purchasers to clarify sourcing needs and item codes for orders.

Ensure correct item codes are used and communicate corrections to requesters when required.

Forward supply requests to warehouse or other logistics sources when necessary and follow up until shipments arrive.

Maintain supply requests in staging until sourcing and lead times are confirmed.

Follow up on staged requests and ensure they are complete and ready for processing.

Manage scheduled pick dates and promised delivery dates based on local, regional, warehouse or upstream sourcing.

Review supply requests for accuracy before submitting them for approval.

Establish and maintain documentation for tracking and monitoring each request.

Follow up on incoming upstream orders and update requesters on delivery timelines.

Manage orders until all lines are fully dispatched and delivered.

Process internal requests according to organisational procedures and approval thresholds.

Ensure the JDE order follow-up table is accurate and updated.

Report daily to the Logistician on problems, claims and unusual requests concerning open orders.

Provide requesters with regular updates on the status of their orders.

Required Qualifications:

University degree or technical degree with equivalent experience in logistics, administration or a related field.

Three to five years of overall professional experience.

At least three years’ previous experience in administration, supply chain or logistics.

Good command of spoken and written English and the local working language.

Strong computer skills, especially Microsoft Office.

Knowledge of enterprise resource planning software is an advantage.

Good knowledge of supply chain processes.

Strong motivation for humanitarian work.
