ROLE PURPOSE
The Programme Assistant will provide administrative, logistical, financial and programme support to the Programme Unit. The position will support project set-up, budget monitoring, payments, events, travel, resource mobilisation, programme records, data tracking, reporting, knowledge management and implementation activities.
DUTIES AND RESPONSIBILITIES
Financial and administrative support
- Support project creation in Quantum and PRISM.
- Prepare budget revisions and support updates to project awards and project status.
- Help identify unutilised funds and support the operational and financial closure of projects.
- Assist with budget and financial monitoring and preparation of FACE forms.
- Perform delegated functions in Quantum.
- Prepare non-purchase-order vouchers for development projects.
- Process consultant payments and create project requisitions in Quantum.
Logistics and coordination
- Arrange the administrative, logistical and financial requirements for meetings, workshops, events and missions.
- Prepare travel requisitions, claims and other travel arrangements for the Programme Team.
- Draft meeting minutes when assigned.
- Compile briefing packages and assist with PowerPoint presentations and other programme materials.
- Organise programme files, correspondence and mailing lists.
Resource mobilisation
- Compile and process donor and programme-team documentation for databases, proposals and related records.
- Provide administrative support to the Country Office's resource-mobilisation strategy.
Knowledge building and sharing
- Support training for staff and partners on programme and operations matters.
- Assist with background documents, briefs and presentations connected to gender statistics.
- Support monitoring and communication on the use of gender statistics for policymaking, strategy development and advocacy.
- Help identify and document good practices and lessons learned.
- Support knowledge-management strategies, products and methodologies across Country Office activities.
Programme formulation, implementation and monitoring
- Help prepare work plans, budgets and proposals, including arrangements for implementation and tracking of fund delivery.
- Support routine programme activity and financial reporting.
- Assist programme audits and follow-up of audit recommendations.
- Gather and compile information for guidelines, speeches, position papers and other documents.
- Support indicator tracking across Country Office projects.
- Monitor implementation progress and project delivery using results-based management tools, including RMS and Quantum.
- Carry out other duties within the functional profile when required for the effective operation of the office.
KEY PERFORMANCE EXPECTATIONS
- Timely and accurate support for events, missions and workshops.
- Administrative work that complies with UN Women rules, procedures and policies.
- Accurate and timely data tracking for management and donor requirements.
- Proper maintenance of internal systems and records.
EDUCATION
- Completion of secondary education is required.
- A university degree in Social Sciences, Political Science, International Studies, Public Administration, Economics, Law or a related field is an advantage.
EXPERIENCE
- At least five years of progressively responsible experience in administration or programme management/support.
- Experience working with several office-software packages is required.
- Experience using an enterprise resource planning system, preferably Oracle Cloud, is desirable.
- Experience supporting a team is desirable.
