Position Description & Requirements

Save the Children International is recruiting a Program Operations Coordinator to support effective humanitarian programme delivery across Borno, Adamawa and Yobe (BAY) states in Nigeria. The successful candidate will strengthen programme reporting, project monitoring, budget tracking, donor compliance, data quality, knowledge management, project start-up and the use of PRIME programme management systems. Applicants should have a relevant university degree or equivalent work experience and at least three years of experience in programme operations or programme management within an NGO or humanitarian setting.

KEY AREAS OF ACCOUNTABILITY

1.Reporting

1\. Coordinate with the Awards Management team, programme team and MEAL team to ensure that all humanitarian project reports are completed on time and appropriately reviewed by the Deputy Director, Programs Operations – Humanitarian (DDPO-H) and other relevant stakeholders.

2\. Support field-based teams with report writing and develop staff capacity for donor-level writing.

3\. Coordinate with project managers to ensure timely escalation of programme-related concerns and challenges to Technical Advisers (TAs) and the DDPO-H.

4\. Work closely with the rapid response team to support the timely initiation of emergency responses across the BAY states.

5\. Work closely with the DDPO-H to ensure timely review of monthly transaction lists and budget-versus-actual reports for all active budgets.

2.Support Proposal Development

1\. Provide support for proposal development as required, working with the business development team and technical teams.

2\. Share relevant, context-specific information and data requested by the Country Office business development team.

3\. Ensure appropriate risk assessments are completed for new awards and opportunities.

3.Programme Management Support

1\. Work with project managers and MEAL teams to ensure effective monitoring of humanitarian awards, including monthly reviews of PRIME RAG status, Indicator Performance Tracking Tables (IPTT) and budget-versus-actual (BvA) reports.

2\. Work with the MEAL focal person for each project to ensure reporting templates and data collection tools are standardised across the BAY states.

3\. Work with project managers to ensure actions agreed during BvA and APRM meetings are effectively tracked and followed up.

4\. Track open purchase orders for each project and ensure they are successfully closed.

5\. Support the establishment and start-up of new projects in the BAY states.

4.Knowledge Management

1\. Support teams in developing accessible and usable documents to support future proposal development and team capacity building.

2\. Ensure that teams share and store documents effectively, complying with donor requirements, internal guidance and individual team filing requirements.

3\. Conduct knowledge management training for staff and partners.

4\. Provide accurate and appropriate oral and written responses and briefings to queries from staff, managers and external stakeholders.

5\. Contribute to knowledge management by documenting best practices and sharing them across field offices.

5.Representation and Coordination

1\. Act as the focal point for member and VIP visits, ensuring schedules are drafted and shared to maximise the time available during high-profile visits.

2\. Ensure that coordination and information sharing are completed for such visits.

3\. Provide other support to humanitarian teams as directed by the line manager.

6.Programme Operations and Delivery Support

1\. Support selected Programme Operations priorities and transformational delivery initiatives, including PMM, Projects on Track and related project-management standards, as assigned by the DDP-H.

2\. Work with Area and Field Offices and Programme Managers to follow up on agreed programme-delivery and improvement actions and maintain relevant Operations action trackers.

3\. Contribute to monthly and quarterly Programme Operations reviews, reports, factsheets and performance narratives using PRIME and other available management information.

4\. Support the DDP-H in monitoring programme delivery, including Country Office key performance indicators (KPIs), portfolio trends and projects requiring additional management attention.
