JOB SUMMARY
Green Habitat Initiative is seeking a proactive, organised and detail-oriented Program Assistant to support the implementation of its environmental programmes and initiatives.
The selected corps member will work closely with the Program Manager and other team members to ensure that projects, workshops, community activities and administrative responsibilities are implemented effectively.
KEY RESPONSIBILITIES
Administrative Support
- Provide administrative assistance to the Program Manager and Programme Officers.
- Support the scheduling of programme meetings and activities.
- Organise programme documents and correspondence.
- Maintain complete and properly arranged programme files.
- Support the preparation of activity schedules, meeting notes and internal documents.
- Follow up on assigned programme action points.
- Perform other administrative responsibilities required for effective programme implementation.
Event Coordination
- Assist with planning environmental workshops, seminars and community events.
- Support venue preparation and other logistical arrangements.
- Help prepare participant lists, materials and activity schedules.
- Communicate programme information to participants and relevant stakeholders.
- Support registration and participant coordination during events.
- Assist with documenting workshops and community activities.
- Support post-event reporting and organisation of activity records.
Communication
- Assist with drafting programme-related communications.
- Proofread newsletters, reports, letters and other programme documents.
- Support the preparation of social-media content.
- Ensure written materials are clear, accurate and professionally presented.
- Assist with communicating programme activities to volunteers, communities and partners.
- Support the documentation of programme achievements and outcomes.
Data Management
- Maintain accurate records relating to programme activities.
- Update participant and stakeholder databases.
- Organise information concerning programme outputs and outcomes.
- Ensure programme information is properly filed and accessible.
- Review records for completeness and accuracy.
- Support the collection and organisation of monitoring information.
- Protect confidential organisational and participant information.
Research
- Conduct research on environmental issues and sustainability.
- Identify relevant policies, reports and best practices.
- Research potential programme partners and stakeholders.
- Support the collection of information required for programme development.
- Summarise research findings for the programme team.
- Contribute information that can support proposals, reports and programme planning.
Community Engagement
- Support engagement with community members and volunteers.
- Assist with communication and coordination involving partner organisations.
- Promote awareness and participation in Green Habitat Initiative programmes.
- Support community mobilisation for workshops and environmental activities.
- Maintain respectful and professional relationships with programme participants.
- Document community feedback and share relevant concerns with the programme team.
Other Responsibilities
- Undertake additional duties assigned by the Program Manager.
- Support team members during periods of increased programme activity.
- Participate in organisational meetings and learning activities.
- Contribute practical ideas that can improve programme delivery.
- Maintain professional conduct and represent the organisation appropriately.
QUALIFICATIONS AND ELIGIBILITY
- Applicant must be a serving NYSC corps member.
- The organisation’s official vacancy page currently lists Batch A Stream 2 or Batch B Stream 1 corps members as eligible.
- Applicant must possess a bachelor’s degree.
- Strong organisational skills and the ability to manage several responsibilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and other relevant computer applications.
- Ability to work independently and as part of a team.
- Knowledge of environmental issues and conservation principles is preferred.
- Strong interest in environmental sustainability.
- Commitment to the mission and values of Green Habitat Initiative.
