Search for Common Ground is an international non-profit organisation that promotes the peaceful transformation of conflict.

The organisation works with individuals, communities, organisations and governments to move away from destructive approaches to conflict and towards cooperative solutions. Search for Common Ground implements peacebuilding programmes across Africa and other regions of the world.

PROJECT BACKGROUND

The project aims to improve peace and security in communities across Benue and Nasarawa states through community capacity building, institutional strengthening and collaboration among relevant stakeholders.

Project activities will include community engagement, advocacy, security assessments, conflict analysis, training on conflict sensitivity and early-warning systems, peacebuilding dialogues, media engagement and activities designed to promote trust and social cohesion.

Position: Procurement, Admin & Logistics Assistant

Locations: Makurdi, Benue State and Lafia, Nasarawa State

Employment Type: Full-time

JOB SUMMARY

The Procurement, Administration and Logistics Assistant will provide procurement, administrative and logistical support to the Search for Common Ground offices in Makurdi and Lafia.

The successful candidate will work closely with the Procurement, Administration and Logistics Officer, Senior PAL Officer, Finance team and Programme team to ensure proper recordkeeping and the smooth operation of the offices.

The role will also support the supervision of office cleaning staff and project drivers. The successful candidate must be a resident of either Makurdi or Lafia and should be available for field travel to relevant project communities.

KEY RESPONSIBILITIES

  • Liaise with landlords, vendors, suppliers, courier companies and other operational contacts to keep the offices fully functional.
  • Coordinate the delivery and collection of packages and official materials.
  • Ensure that the organisation’s inventory records are updated regularly.
  • Develop and oversee office safety procedures, including coordination with security service providers.
  • Ensure that office access-control systems and key-management procedures function properly.
  • Manage office telephone, intercom and internet systems.
  • Provide logistical support for meetings, workshops and conferences held within or outside the office.
  • Respond to general office emails and forward enquiries to the appropriate staff members.
  • Orient new staff members, visitors and consultants on the use of office equipment and systems.
  • Ensure that office equipment is properly maintained and coordinate necessary repairs.
  • Support the management of the office vehicle fleet and private vehicle hire arrangements.
  • Coordinate and monitor vehicle repairs and maintenance.
  • Maintain office records relating to travel, inventory, vehicle fuel and generator fuel usage.
  • Arrange staff travel and prepare relevant documents, tickets, accommodation details and meeting confirmations.
  • Prepare and submit monthly logistics reports to the Senior Procurement, Administration and Logistics Officer.
  • Support the procurement of goods and services in accordance with the organisation’s procedures.
  • Ensure that procurement documentation is properly completed using the Global Procurement System.
  • Maintain and regularly update the organisation’s vendor database.
  • Monitor the quality and cost of office supplies, stationery, accommodation, transportation and other goods and services.
  • Support Finance, Programme and other teams when required.
  • Perform other related responsibilities assigned by the supervisor.

QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Management, Procurement, Accounting or another relevant Social Science discipline.

EXPERIENCE

  • One to three years of professional experience providing administrative, procurement, finance, logistics or operational support.
  • Previous experience working with an NGO or civil society organisation is an advantage.
  • Demonstrated ability to work effectively with little or minimal supervision.
  • Experience maintaining administrative, procurement, inventory or logistics records is desirable.
  • Experience supporting office operations, travel arrangements and vendor management is an advantage.

  • Understanding of conflict-affected or post-conflict development contexts.
  • Excellent written and spoken English.
  • Strong planning, organisation and time-management skills.
  • Ability to prioritise assignments and meet deadlines.
  • Strong communication and teamwork skills.
  • Good reporting and recordkeeping abilities.
  • Strong computer skills, including Microsoft Office, email, Google Drive, Google Docs, Google Sheets and presentation tools.
  • Ability to work effectively under pressure and manage a demanding workload.
  • Strong attention to detail, integrity and accountability.
  • Ability to maintain professional relationships with vendors, colleagues and other stakeholders.
