JOB SUMMARY
The Associate will support people-management activities, office administration, front-desk operations, facility coordination and employee experience.
The ideal candidate should be organised, proactive, detail-oriented and comfortable supporting several administrative and people-related activities simultaneously.
KEY RESPONSIBILITIES
Front-Desk Management
- Welcome visitors professionally.
- Respond to enquiries received at the front desk.
- Receive and direct telephone calls.
- Provide accurate information to visitors and callers.
- Notify relevant employees when visitors arrive.
- Receive and distribute correspondence and deliveries.
- Maintain an organised reception area.
- Keep basic visitor and correspondence records.
- Escalate unusual enquiries appropriately.
Employee Support
- Support employee-lifecycle activities.
- Assist with onboarding and orientation.
- Support the preparation of employee records and documentation.
- Respond to routine staff administrative enquiries.
- Assist with employee-engagement and welfare activities.
- Support initiatives that promote a positive workplace culture.
- Coordinate with employees and departments on administrative matters.
- Protect confidential employee information.
- Assist the People, Culture and Administration team with assigned activities.
Office Administration
- Support general office operations.
- Maintain organised administrative files.
- Assist with correspondence and documentation.
- Support meetings and staff events.
- Prepare rooms and materials for organisational activities.
- Help monitor stationery and office supplies.
- Support inventory records.
- Coordinate with vendors and service providers.
- Follow up on assigned administrative requests.
- Support several departments when administrative assistance is required.
Facility Management
- Monitor office cleanliness, hygiene and safety.
- Report maintenance and facility problems.
- Support arrangements for repairs and servicing.
- Monitor the availability of essential office supplies.
- Support facility inspections.
- Ensure shared spaces remain safe and functional.
- Assist with vendor coordination.
- Maintain basic records of facility requests.
- Support emergency and safety procedures when required.
Training-Room Coordination
- Manage training-room booking requests.
- Maintain an organised booking schedule.
- Ensure the room is prepared before activities.
- Coordinate required equipment and materials.
- Monitor the use and condition of the room.
- Support the training room’s social-media page.
- Promote approved training-room activities online.
- Coordinate with internal and external users of the facility.
Communications Support
- Support content development for the Humans of LEAP Africa social-media page.
- Collect approved employee stories and workplace information.
- Assist with basic social-media administration.
- Coordinate with communications personnel before publishing content.
- Ensure employee information is shared only with appropriate consent.
- Support the promotion of workplace-culture activities.
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree, HND or equivalent qualification in Human Resources, Business Administration, Public Administration or a related field.
- Zero to one year of experience in administration, facilities management, office operations, people support, customer service or social-media support.
- Experience supporting meetings, events, employee engagement or welfare activities is an advantage.
- Basic understanding of inventory management and vendor coordination.
- Experience providing front-desk or customer support is advantageous.
