JOB DETAILS

Job Title: Logistics Manager

Duty Station: Gusau, Zamfara State

Eligibility: Nigerian nationals only

Contract Duration: Five months, with possible extension

ROLE PURPOSE

The Logistics Manager will implement and supervise logistics operations at the assigned base. The position will organise logistics support for programme implementation and support the Field Coordinator with safety and security procedures.

SUPPLY AND PROCUREMENT MANAGEMENT

  • Analyse the local purchasing environment.
  • Maintain supplier databases and market-price lists.
  • Apply organisational procurement procedures and donor requirements.
  • Develop and update purchasing timelines.
  • Align procurement schedules with programme activities.
  • Receive and process requests for quotations and internal order forms.
  • Monitor logistics-related budget lines.
  • Prepare procurement documents and supplier contracts.
  • Support calls for tenders and supplier selection.
  • Negotiate prices, delivery timelines and contractual conditions.
  • Ensure procurement files are complete and properly maintained.
  • Monitor supplier performance and follow up pending transactions.

VEHICLE-FLEET MANAGEMENT

  • Negotiate vehicle-rental contracts.
  • Supervise vehicle maintenance and repair.
  • Prepare and maintain vehicle-movement schedules.
  • Ensure vehicles have complete emergency and breakdown kits.
  • Train and assess drivers.
  • Monitor vehicle logbooks, fuel consumption and mileage.
  • Prevent misuse or diversion of fuel and spare parts.
  • Ensure vehicles have complete registration and administrative documents.

EQUIPMENT AND IT MANAGEMENT

  • Maintain an updated equipment inventory.
  • Allocate equipment according to operational needs.
  • Monitor the use and condition of equipment.
  • Install and maintain communication systems.
  • Train personnel in the correct use of communication equipment.
  • Ensure antivirus and data-backup procedures are implemented.
  • Provide IT and equipment-related technical support.

STOCK AND WAREHOUSE MANAGEMENT

  • Select appropriate storage locations.
  • Organise warehouses and storage areas.
  • Ensure materials are stored under suitable conditions.
  • Monitor expiration dates.
  • Apply approved stock-entry and stock-exit procedures.
  • Maintain complete stock documentation.
  • Supervise monthly physical inventory counts.

HUMAN-RESOURCE MANAGEMENT

  • Assess logistics staffing requirements.
  • Participate in recruitment of logistics personnel.
  • Train and supervise logistics employees.
  • Conduct performance appraisals.
  • Organise regular logistics-team meetings.

SECURITY AND REPORTING

  • Implement safety measures established by the coordination team.
  • Train personnel on applicable safety procedures.
  • Communicate security information to the line manager.
  • Maintain supplier and market information.
  • Consolidate monthly logistics reports.
  • Provide information required for donor reporting.
  • Submit procurement reports for closed projects.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor's degree in Logistics, Warehouse Management, Purchasing, Supply Chain Management or another related field.
  • At least three years of relevant experience in a similar position with an international NGO.
  • Strong experience in the humanitarian sector.
  • Advanced Microsoft Excel skills.
  • Good knowledge of Microsoft Word and PowerPoint.
  • Knowledge of logistics software is an advantage.
  • Strong procurement, inventory, asset, fleet and warehouse-management skills.
  • Excellent organisation, communication and reporting ability.
  • Ability to manage a substantial workload.
  • Fluency in English.
  • Hausa is an advantage.
