JOB SUMMARY
The Logistics Associate will support the planning, coordination and monitoring of UNICEF’s supply-chain and logistics activities.
The officer will coordinate import clearance, transportation, delivery, warehouse operations, inventory management and logistics reporting while ensuring compliance with UNICEF procedures and ethical standards.
KEY RESPONSIBILITIES
- Liaise with programme teams and procurement personnel to prepare import-regulatory submissions.
- Ensure that supply plans contain appropriate distribution plans and funding arrangements.
- Prepare estimates for logistics commitments and vendor allocations.
- Monitor logistics expenditure and review outstanding commitments.
- Verify that shipment documents comply with import and export regulations.
- Prepare letters of authority for government ministries, clearing agents, customs and regulatory agencies.
- Monitor the import-clearance process and respond to regulatory queries.
- Ensure compliance with customs procedures, tariffs and relevant regulations.
- Update logistics-monitoring tools to provide visibility of shipments and vendor commitments.
- Initiate requests for freight forwarders or transportation companies from approved vendors.
- Coordinate the timely collection and delivery of supplies.
- Track shipments and address delays, losses or other delivery challenges.
- Confirm that supplies arrive safely at their approved destinations.
- Coordinate the receipt and dispatch of consignments.
- Ensure that all movements of goods are recorded in UNICEF’s systems.
- Promote good warehouse-management practices.
- Support the training and monitoring of third-party warehouse providers.
- Prepare regular inventory and stock reports.
- Track inventory from the source to the final beneficiary.
- Conduct regular physical stock counts.
- Reconcile physical inventory against organisational records.
- Prepare documentation for the disposal of damaged, expired or obsolete commodities.
- Monitor commodities approaching expiration.
- Apply First In, First Out and First Expired, First Out stock-management principles.
- Monitor the performance of logistics contractors and service providers.
- Track key performance indicators and identify logistics bottlenecks.
- Maintain real-time shipment and inventory monitoring tools.
- Prepare regular logistics reports for management and programme teams.
- Coordinate with vendors, government agencies, warehouse personnel and internal departments.
- Perform other logistics and supply-chain duties assigned by the supervisor.
EDUCATION AND QUALIFICATIONS
- Completion of secondary education is required.
- Technical or university courses related to supply chain, business administration, contract law, commercial law or another relevant field are desirable.
EXPERIENCE REQUIREMENTS
- Minimum of six years of relevant administrative experience in supply-chain management or a commercial environment.
- Experience in transportation, logistics, import clearance or warehouse operations.
- Experience managing inventory, deliveries and supply documentation.
- International development experience is an advantage.
- Familiarity with humanitarian and development operations is desirable.
- Relevant experience working in fragile or humanitarian contexts is an advantage.
REQUIRED TECHNICAL SKILLS
- Knowledge of supply-chain and logistics processes.
- Knowledge of import and export requirements.
- Understanding of public-sector procurement rules and procedures.
- Ability to interpret and apply specialised regulations.
- Proficiency in Microsoft Word, Excel and PowerPoint.
- Knowledge of SAP or another enterprise-resource-planning system.
- Ability to use supply-related modules in organisational systems.
- Knowledge of warehouse and inventory-management practices.
- Ability to prepare clear logistics reports and supply-related justifications.
- Ability to plan, coordinate and monitor logistics activities.
