The organization provides assistance in areas including health, nutrition, protection, food security, shelter, water, sanitation and hygiene while helping vulnerable populations regain dignity and independence.
Première Urgence Internationale is recruiting a Human Resources Assistant to support human-resources management and administration at its base office in Monguno, Borno State.
General Objective
Under the supervision of the Human Resources Officer, the Human Resources Assistant will support all activities relating to human-resources management at the base office.
The successful candidate will assist with personnel documentation, recruitment, onboarding, staff records, contracts, leave tracking, performance-appraisal follow-up, training records and other HR administrative responsibilities.
Key Responsibilities
Administrative Management and Follow-Up
Organize personnel and contractual documents for all base staff.
Ensure that employee HR files are complete, accurate and regularly updated.
Manage the physical and electronic archiving of HR documents.
Prepare staff administrative materials such as identification cards and medical-insurance cards.
Record minutes of meetings when requested by the line manager.
Receive and compile complaints or claims from national staff and report them to the appropriate supervisor.
Prepare and share weekly mission documents, including job announcements and recruitment follow-up records.
Prepare onboarding documents for newly recruited employees.
Ensure new staff receive information and documentation relating to available medical and social benefits.
Update the base internal contact list monthly.
Prepare HR files for audits and verification visits.
Support the preparation of HR meetings.
Human Resources Management
Maintain strict confidentiality of employee and organizational information.
Support the implementation of PUI HR policies and procedures.
Prepare employment contracts and contract amendments for local staff.
Ensure employees understand the terms and conditions of their contracts.
Track staff leave and update the relevant HR tools.
Monitor performance-evaluation and appraisal deadlines.
Update the HR database regularly.
Support employee termination procedures and prepare the necessary documentation.
Update staff organizational charts when assigned.
Ensure recruitment documents are complete and properly stored.
Archive CVs received through the recruitment email address.
Transfer eligible applications to the appropriate recruiters.
Communicate with candidates throughout the recruitment process.
Schedule technical tests and interviews.
Assist with recruitment activities and participate in interviews when required.
Prepare induction and integration arrangements for newly recruited employees.
Training and Capacity Building
Assist in identifying suitable training institutions based on staff needs.
Support the planning and organization of staff training.
Archive training certificates and attendance records in employee files.
Document skills gaps identified during performance appraisals.
Update training and capacity-building records.
Support the implementation of the base capacity-building plan.
Payroll and Staff Information Support
Collect monthly salary-advance requests.
Update staff bank-account information in the HR database.
Ensure staff information required for payroll processing is accurate and current.
Support staff registration for available medical and social coverage.
Departmental Priorities
The Human Resources Assistant will support the department in:
Applying internal staff regulations and HR guidelines.
Digitalizing employee HR files.
Maintaining accurate physical and electronic archives.
Protecting the confidentiality of all HR matters.
Implementing staff capacity-building plans.
Following up on performance appraisals.
Ensuring eligible staff are registered for medical and social benefits.
Qualifications and Experience
University degree in Human Resources Management, Public Administration, Social Sciences or a related field.
Minimum of six months of relevant experience in human-resources management.
Previous HR experience with an NGO or humanitarian organization is an advantage.
Fluency in English and Hausa is required.
Knowledge of Kanuri is an added advantage.
Knowledge and Skills
Knowledge of Nigerian labour laws and relevant social-security regulations.
Strong administrative, analytical and report-writing skills.
Good knowledge of Microsoft Word and Outlook.
Excellent Microsoft Excel skills.
Ability to manage confidential employee information.
Good communication and interpersonal skills.
Strong record-keeping and document-management ability.
