ROLE PURPOSE
Working with senior management, MEAL colleagues, project and programme managers and technical coordinators, the Grants and Reporting Manager will support the design of new proposals, high-quality reporting and effective grant management. All work must align with INTERSOS programme objectives, internal procedures and donor requirements.
KEY RESPONSIBILITIES
Project design and proposal development
- Support donor mapping and development or updating of the mission's donor strategy.
- Analyse calls for proposals and contribute to Go/No-Go decision processes.
- Coordinate the design and drafting of project proposals with programme, project, finance, logistics and technical teams.
- Ensure proposals follow the donor's format, rules, objectives and submission requirements.
- Maintain the mission master plan and communicate internal and external deadlines.
- Coordinate with the regional office and headquarters to follow the approved proposal workflow.
- Promote a clear division of responsibilities and timelines during proposal development.
- Check that narrative information, indicators, budgets and financial figures are consistent across proposal documents.
- Verify that final submission packages are complete and compliant.
- Promptly flag risks, delays and outstanding requirements.
Reporting
- Help review and harmonise programme monitoring, follow-up and reporting templates.
- Keep the mission informed about current donor reporting templates and guidance.
- Maintain the reporting tracker and ensure grant-agreement deadlines are followed.
- Coordinate the compilation, review and submission of timely, accurate and compliant donor reports.
- Check consistency between narrative, finance and logistics components.
- Ensure reports and annexes are correctly stored on the INTERSOS Management Platform.
Grant implementation and compliance
- Prepare and facilitate project kick-off meetings with programme managers.
- Contribute to partner-capacity assessments and grant agreements.
- Organise information sessions on donor rules for programme, MEAL, finance, logistics and HR teams.
- Conduct field monitoring, performance-indicator reviews and compliance spot checks involving projects and local partners.
- Periodically review project documentation and ensure correct archiving on the mission drive and management platform.
- Support project-review, amendment and closure processes.
- Ensure amendment requests follow donor procedures and regulations.
- Analyse and visualise programme outputs using Google Data Studio or other approved tools and report significant achievement gaps or trends.
- Keep the mission communication plan current and assist with external products in coordination with senior management and headquarters.
EDUCATION AND EXPERIENCE
- Bachelor's degree in International Affairs, Development, International Political Economy or another relevant field.
- At least three years of relevant experience in a humanitarian-sector programme department.
- Experience managing institutional-donor grants, including donors such as BHA, ECHO, UNHCR or AICS.
- Understanding of donor rules, compliance and reporting requirements.
- Project Cycle Management skills and strong work-planning ability.
- Basic financial skills and ability to check consistency between narratives and budgets.
- Ability to analyse data for reporting and programme design.
- Strong report-writing and communication skills.
- Computer literacy, including Word, Excel and internet-based tools.
- Strong spoken and written English.

CONDITIONS AND BENEFITS
The role is an international field position in a non-family duty station. Benefits stated in the official vacancy include shared guesthouse accommodation, covered round-trip travel, medical and related insurance, visa support, 2.5 days of annual leave per month and applicable rest-and-recuperation arrangements. R&R for eligible staff is seven days every twelve weeks with a €1,000 allowance. Terms remain subject to INTERSOS policy.
