JOB SUMMARY
The Front Desk / Office Assistant will support the TRACE Project office in Ikom by performing reception, clerical, office-management, logistics and basic administrative functions. The position reports to the Office Manager and provides day-to-day support needed for smooth office operations.
KEY RESPONSIBILITIES
- Serve as receptionist and receive visitors professionally.
- Handle official correspondence and distribute letters and documents.
- Provide general clerical and administrative support to project staff.
- Ensure the daily staff attendance register is properly completed.
- Run approved office errands and support routine operational requirements.
- Provide administrative support to procurement activities when requested.
- Assist with office events, meetings and tracking administrative deadlines.
- Monitor generator fuel use and servicing under the Office Manager’s supervision.
- Support preparation and raising of purchase requests.
- Promote efficient use of office paper, water, power and consumables.
- Organise the office storeroom and maintain accurate stock tally cards.
- Supervise and follow up on work carried out by office cleaners.
- Report equipment faults and facility-management needs promptly.
- Prepare and organise materials for meetings and workshops.
- Assist with monitoring IT equipment and office electronics.
- Collate weekly activity reports submitted by unit heads.
- Support periodic inventory and asset counts and routine checks on asset labels and locations.
- Perform other reasonable duties assigned by the supervisor.
QUALIFICATIONS AND EXPERIENCE
- Graduate degree in Social Sciences, Arts or a related discipline with at least one year of relevant experience; OR Senior Secondary School Certificate with substantial relevant experience.
- Ability to communicate effectively in English.
- Good organisation, interpersonal and customer-service skills.
- Ability to maintain accurate administrative records.
- Ability to manage several routine support tasks simultaneously.
