Position Description & Requirements

Key Responsibilities

Financial Management

Prepare payment vouchers and confirm that all required supporting documents are complete.

Manage staff advances, retirements and vendor milestone payments.

Ensure that advances and payments are reconciled promptly.

Maintain accurate monthly filing and scanning of financial documents on SharePoint.

Ensure financial records are properly labelled, filed and ready for audit.

Deduct and remit statutory payments to the appropriate authorities in Bauchi State.

Prepare and record transactions in the bank book and petty cash book.

Prepare journal vouchers for monthly transactions before posting into SAP.

Support the Finance Manager in preparing month-end financial reports.

Ensure compliance with WCS financial policies and donor regulations.

Administrative Management

Coordinate the daily administrative activities of the field office.

Support staff travel arrangements and logistics planning.

Work with the logistician to ensure office supplies are replenished on time.

Support vehicle management and the general administration of the Yankari/Bauchi office.

Assist the Operations Manager in maintaining asset and inventory registers.

Coordinate payments for meetings, workshops and training activities.

Support proper filing and documentation of administrative records.

Additional Responsibilities

Guide programme and operations staff on the correct use of activity codes and budget lines.

Support the finance team during proposal budgeting and annual budget preparation.

Assist with audit preparation and provide required financial documentation.

Perform other finance and administrative duties assigned by the Finance Manager or Finance Director.

Qualifications and Experience

Bachelor’s degree or HND in Accounting, Finance, Business Administration or a related field.

Professional qualification such as ICAN, ACCA or an equivalent qualification is an advantage.

Three to five years of relevant experience in finance and administration.

Previous experience working with an NGO or donor-funded project is strongly preferred.

Good knowledge of Microsoft Office applications, particularly Microsoft Excel.

Experience using accounting software.

Knowledge of SAP is an advantage.

Experience managing multiple grants and donor budgets is desirable.

Good written and spoken English and Hausa.
