Position Description & Requirements
JOB OVERVIEW
COOPI is recruiting one Finance and Administrative Assistant in Benue State. Under the Project Administrator, the assistant will support field-level accounting, cash management, financial documentation, administration, procurement and logistics in line with COOPI and donor procedures.
KEY RESPONSIBILITIES
Finance
- Maintain project accounting and supporting documents in accordance with COOPI and donor rules.
- Manage cashbox and bank transactions and support monthly reconciliations.
- Process vendor payments and verify compliance with procurement and documentation requirements.
- Organise, file, scan and archive payment vouchers and accounting records.
- Prepare and classify accounting documents required by the Project Administrator.
- Support budget follow-up, cash forecasts, advances and pay-outs.
- Maintain the cash-payment register and cashier’s records.
- Record budget transfers and accounting codes.
- Support monthly closing, account review and integrity checks.
- Verify cash balances daily and report discrepancies.
- Maintain cash security and confidentiality.
- Support tax and statutory payments, audits and partner or head-office checks.
- Assist with monthly budget forecasts and operational cash planning.
Administration and operations
- Provide day-to-day office-administration support.
- Maintain administrative records and archives.
- Support logistics and procurement documentation and follow-up.
- Assist with data collection, collation and reporting.
- Coordinate with the project, country office and other base colleagues.
QUALIFICATIONS AND EXPERIENCE
- Degree, diploma or postgraduate qualification in Accounting, Social Sciences, Business Management, Business Administration, Public Administration or a related field.
- Evidence of NYSC discharge or exemption.
- Two to three years of finance-related experience with an NGO, INGO or financial institution.
- Previous humanitarian, development or emergency-project experience.
- Knowledge of cash management, administration, logistics and procurement.
- Strong Microsoft Excel and general computer skills.
- Fluency in English; working Hausa is an advantage.
- Strong planning, prioritisation, reporting, analysis, communication, teamwork, negotiation and cultural-sensitivity skills.
- Willingness to work and travel in remote areas with limited services.
