JOB SUMMARY:
The Finance, Administration & People & Culture Assistant will provide day-to-day operational support to the Nigeria Country Lead and wider team across finance, office administration and people-related activities.
The position will help ensure timely financial administration, efficient office operations and accurate personnel documentation while supporting the effective running of VillageReach's Nigeria office. LinkedIn
KEY RESPONSIBILITIES:
1.Support financial administration for the Nigeria office by preparing, organizing and submitting invoices, payment requests, expense reports, advances and supporting documentation.
2.Review financial documentation for completeness, support monthly financial close processes, assist with basic budget tracking and monitor expenditures.
3.Prepare financial documentation for audits, donor reviews and internal compliance reviews while liaising with vendors regarding invoices and routine payment matters.
4.Provide administrative support for recruitment, onboarding, employee documentation and offboarding activities in collaboration with the People & Culture team.
5.Maintain accurate and confidential personnel records while tracking probationary periods, contract dates, leave records and mandatory training deadlines.
6.Coordinate day-to-day office operations, including logistics for meetings, workshops, trainings and team events, as well as staff travel arrangements.
7.Maintain office records, filing systems and administrative trackers while supporting procurement of routine office supplies and services.
8.Maintain records of office equipment and organizational assets and coordinate with landlords, IT providers, security providers and other vendors.
9.Support the Country Lead by maintaining operational calendars and trackers, coordinating team meetings and following up on agreed action points.
10.Provide additional finance, administration and people-support assistance to the Nigeria team during periods of increased programme activity. LinkedIn
REQUIREMENTS:
1.Bachelor's degree or equivalent qualification in Finance, Accounting, Business Administration, Human Resources, Management or a related field.
2.At least 2–4 years of relevant professional experience in finance, administration, HR/People & Culture, operations or a comparable support role.
3.Experience supporting financial transactions, documentation, expense management or basic financial reconciliation.
4.Experience with administrative coordination and office operations.
5.Proficiency in Microsoft Office Suite, including Word, PowerPoint, Outlook and Excel.
6.Strong written and verbal communication skills in English.
7.Proficiency in a Nigerian language such as Hausa, Yoruba or Igbo is an advantage.
8.Previous experience with an international NGO, nonprofit, development organization or multi-country organization is an advantage.
9.Experience supporting recruitment, onboarding, employee records or other HR/People & Culture processes is desirable.
10.Familiarity with Nigerian employment and statutory administrative requirements is an advantage.
11.Experience with financial, HRIS, payroll, procurement or ERP systems is desirable.
