JOB DETAILS
Contract Type: Six-month internship, renewable subject to performance and organisational needs
Work Arrangement: Hybrid
Working Hours: 20 hours per week
Reporting Line: Founder
Monthly Stipend: ₦150,000
JOB SUMMARY
The Executive Assistant Intern will provide administrative, coordination and operational support to the Founder.
The role will help manage priorities, meetings, communication, reporting, travel arrangements, documentation and follow-up actions so the Founder can focus on organisational leadership and growth.
KEY RESPONSIBILITIES
Executive and Board Support
- Support scheduling and preparation of Board of Trustees and Advisory Board meetings.
- Prepare and organise relevant meeting documentation.
- Record and track board action points.
- Follow up with leadership on agreed actions.
- Manage the Founder’s calendar and priorities.
- Coordinate calls and meetings on behalf of the Founder.
- Prepare briefing notes, summaries and talking points.
- Support senior-leadership meetings.
- Prepare agendas and record meeting minutes.
- Represent the Founder at selected events when authorised.
Communication Support
- Organise incoming emails and messages.
- Draft basic responses and follow-up communication.
- Support timely communication between the Founder and internal teams.
- Coordinate communication with partners, donors and other stakeholders.
- Prepare reports, proposals and correspondence.
- Support the Founder’s website and social-media visibility.
- Document external engagements and partnership discussions.
Operational Support
- Maintain organised digital and physical filing systems.
- Support expense documentation.
- Assist with travel research and arrangements.
- Prepare travel schedules and meeting itineraries.
- Support event logistics.
- Handle sensitive information with confidentiality.
- Provide reasonable personal administrative support where required.
Cross-Functional Coordination
- Liaise with department heads to collect information required for decision-making.
- Support communication between the Executive Office and programme, finance, operations and people teams.
- Track tasks, deadlines and follow-up actions.
- Monitor commitments made during meetings.
- Help improve Executive Office workflows.
- Support the use of Google Workspace, ClickUp, Zoom and other collaboration tools.
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in a relevant field.
- Zero to two years of experience in executive support, administration or coordination.
- Nonprofit or mission-driven experience is preferred.
- Strong organisation and time-management ability.
- Excellent written and verbal communication.
- High level of professionalism, discretion and sound judgement.
- Ability to manage several competing priorities.
- Strong alignment with the organisation’s mission and values.
