Position Description & Requirements

JOB SUMMARY

Grade 4. The Associate Officer supports effective state-office logistics, administration, procurement, fleet and asset management so programme teams have the resources required for timely implementation.

KEY RESPONSIBILITIES

  • Coordinate travel, hotel, venue and meeting arrangements and prepare materials for trainings, workshops and field activities.
  • Support office setup, maintenance, utilities and routine administrative records.
  • Plan vehicle movements, maintain vehicle logbooks and schedules, track fuel use and coordinate preventive maintenance and repairs.
  • Receive approved purchase requests, obtain quotations, prepare requests for quotations and support transparent vendor selection.
  • Prepare purchase orders and procurement documentation and follow orders through delivery and acceptance.
  • Check goods received, prepare or maintain goods-received notes and file evaluation minutes and supporting documents.
  • Update procurement status reports and alert supervisors to delays, compliance gaps or supply risks.
  • Maintain asset records in Asset Panda or the designated system; tag, issue, transfer and verify assets.
  • Report lost or damaged assets and support approved disposal processes.
  • Supervise and schedule drivers and monitor compliance with safety and fleet procedures.

QUALIFICATIONS AND EXPERIENCE

  • Degree or HND in Business Administration, Supply Chain Management, Procurement, Logistics, Accounting, Finance, Public Administration or a related discipline.
  • At least two years of relevant logistics, procurement, administration, fleet or asset-management experience.
  • Experience maintaining trackers, filing procurement records and managing assets.
  • Working knowledge of Microsoft Excel and Word.
  • Strong attention to detail, numerical accuracy, communication and teamwork, with ability to meet deadlines under pressure.

  • Maintain complete, auditable records and comply with Helen Keller International policies, donor rules, safeguarding requirements, confidentiality and professional conduct.
  • Work collaboratively with government counterparts, colleagues, partners and communities and report risks or irregularities promptly.
