JOB DETAILS

Job Title: Administrative Officer

Location: Damaturu, Yobe State

Employment Type: Full-time

ROLE PURPOSE

The Administrative Officer will support efficient management of administrative and operational functions. The position will coordinate office administration, logistics, procurement, assets, facilities and programme-support arrangements.

OFFICE ADMINISTRATION

  • Coordinate daily office activities.
  • Maintain effective administrative systems.
  • Manage correspondence, records and office documentation.
  • Maintain organised physical and electronic filing systems.
  • Support scheduling of meetings and organisational activities.
  • Ensure the office operates efficiently.

LOGISTICS AND PROCUREMENT

  • Coordinate logistics requirements.
  • Support procurement processes.
  • Obtain quotations and support vendor-selection processes.
  • Maintain procurement documentation.
  • Coordinate travel, accommodation, meetings and programme logistics.
  • Support programme teams during training, workshops and field activities.
  • Maintain supplier and service-provider records.

ASSET AND INVENTORY MANAGEMENT

  • Maintain organisational asset records.
  • Support inventory management.
  • Monitor office equipment and supplies.
  • Manage office consumables.
  • Monitor the use, movement and condition of organisational assets.
  • Promote proper accountability for organisational property.

FACILITIES AND OPERATIONAL SUPPORT

  • Coordinate office maintenance and utility requirements.
  • Support management of offices, stores and other facilities.
  • Assist with transport and movement arrangements.
  • Provide administrative support to programme and management teams.
  • Help maintain a safe and organised working environment.

REPORTING AND DOCUMENTATION

  • Prepare meeting agendas, attendance records and minutes.
  • Maintain administrative and logistics reports.
  • Support audit and compliance reviews.
  • Provide requested documents during internal and external reviews.
  • Protect confidential organisational and personnel information.
  • Carry out other duties assigned by management.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor's degree or HND in Business Administration, Public Administration, Office Management, Procurement, Supply Chain Management, Social Sciences or another related field.
  • At least three years of relevant experience.
  • Previous experience in administration, logistics, procurement or NGO operations.
  • Knowledge of donor-compliance and documentation requirements.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong organisational, planning and problem-solving skills.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Strong communication and interpersonal skills.
  • High level of integrity, professionalism and confidentiality.
  • Ability to work independently and within a multidisciplinary team.
