The International Trade Centre is recruiting an Administrative Assistant in Abuja to support the Africa Trade Competitiveness and Market Access Programme. The position involves budget monitoring, invoice processing, administrative coordination, travel arrangements, record keeping and contract administration. The role supports a programme working to strengthen African trade, market access and the export competitiveness of small and medium-sized enterprises.
ABOUT THE INTERNATIONAL TRADE CENTRE:
The International Trade Centre (ITC) is a joint agency of the United Nations and the World Trade Organization. It supports trade-led development by helping small businesses in developing countries access international markets and improve their competitiveness.
The current assignment supports the Africa Trade Competitiveness and Market Access Programme, an initiative funded by the European Union and implemented by ITC and the United Nations Industrial Development Organization.
JOB SUMMARY:
The Administrative Assistant will provide administrative, finance and contract support to the programme's ECOWAS component. The role helps ensure the accurate processing of financial transactions, timely administrative arrangements, organised programme records and effective coordination between project teams.
KEY RESPONSIBILITIES:
1.Monitor expenditures and budget allocations, record variations and update budget tables.
2.Consolidate financial data and support budget reviews and related programme reporting.
3.Review requisitions for goods and services to ensure that expenditure codes are correct and funding is available.
4.Prepare payment requests, consultant and expert fees, per diems and supplier invoices for processing.
5.Maintain petty cash or imprest transaction records and prepare periodic expense reports.
6.Support project implementation by preparing administrative forms and coordinating arrangements for staff, consultants and programme beneficiaries.
7.Organise travel arrangements, events, seminars, workshops and other programme activities.
8.Maintain up-to-date electronic and paper records, correspondence and administrative files.
9.Liaise with internal teams and service units at headquarters and in the field to support timely programme delivery.
10.Assist with contract administration, including checking contractor invoices against approved goods or services and monitoring payments.
11.Perform other relevant administrative duties as required by the programme team.
REQUIREMENTS:
1.A high school diploma or equivalent.
2.At least five years of professional experience in administration, finance, accounting, audit, human resources or a related area.
3.Candidates with a first-level university degree or higher may qualify with at least three years of relevant experience.
4.Knowledge of Microsoft Office and standard administrative processes.
5.Experience with ERP systems, SAP/Umoja, SharePoint and Microsoft Teams is desirable.
6.Ability to manage financial documentation and maintain accurate records.
7.Good communication, teamwork, organisation and problem-solving skills.
8.Ability to handle competing priorities and work collaboratively with programme teams.
9.Availability for short periods of duty travel when required.
CONTRACT AND WORK ARRANGEMENT:
1.Duty station: Abuja, Nigeria.
2.Expected duration: One year, with the possibility of extension.
3.Recruitment type: Individual consultant/contractor under the applicable ITC contract modality.
4.The assignment supports the ECOWAS component of the Africa Trade Competitiveness and Market Access Programme.
