JOB SUMMARY
The Administrative Assistant will execute a broad range of routine administrative and clerical responsibilities for the assigned unit.
The successful candidate must understand UNICEF’s administrative procedures, processes and policies and provide dependable support for office communication, workflow, meetings, travel, logistics, invoice processing, supplies and attendance monitoring.
KEY RESPONSIBILITIES
- Receive, screen, record and distribute incoming correspondence and documents.
- Draft routine correspondence, emails, memoranda and reports.
- Maintain appropriate office filing and document-management systems.
- Organise the supervisor’s calendar, appointments and official meetings.
- Schedule meetings and communicate meeting details to participants.
- Prepare meeting agendas, background documents and presentation materials.
- Take meeting notes and follow up on agreed action points.
- Support the organisation of workshops, conferences, trainings and other official events.
- Assist with venue arrangements, participant communication and event logistics.
- Support travel planning for staff and authorised visitors.
- Prepare travel authorisations and process travel-related documentation.
- Assist travellers with tickets, accommodation, itineraries and other arrangements.
- Follow up on travel claims and supporting documentation.
- Process invoices and ensure that supporting documents are complete.
- Follow up with vendors, finance personnel and requesting units regarding payments.
- Maintain records of office supplies, equipment and administrative assets.
- Monitor stock levels and support the procurement or replenishment of office materials.
- Support the distribution and proper use of supplies and equipment.
- Maintain staff attendance and leave records.
- Assist with the preparation of administrative reports and data summaries.
- Use digital platforms and organisational systems to track assignments and documents.
- Safeguard confidential documents and sensitive organisational information.
- Provide administrative support during humanitarian emergencies when required.
- Perform other administrative duties assigned by the supervisor.
EDUCATION AND QUALIFICATIONS
- Completion of secondary education is required.
- Technical, professional or university-level courses related to administration or the field of work will be an advantage.
EXPERIENCE REQUIREMENTS
- Minimum of four years of relevant administrative or clerical work experience.
- Experience supporting office administration, meetings, travel, logistics or invoice processing.
- Relevant experience in development, humanitarian or fragile settings is desirable.
- Previous experience working at country level is an advantage.
- Familiarity with emergency or humanitarian operations is highly desirable.
REQUIRED SKILLS AND COMPETENCIES
- Ability to use project-management tools to organise and track assignments.
- Ability to schedule and prioritise tasks to meet deadlines.
- Good written communication and report-writing skills.
- Ability to write clear and concise emails, summaries and recommended actions.
- Strong verbal communication and interpersonal skills.
- Ability to use tact and discretion when handling sensitive matters.
- Ability to compare information and identify differences, risks or inconsistencies.
- Strong organisational and problem-solving skills.
- Ability to use digital platforms and organisational business systems.
- Ability to organise electronic documents and maintain confidentiality.
- Good knowledge of Microsoft Office applications.
- Ability to work collaboratively with colleagues and partners.
- Fluency in English is required.
- Knowledge of a local language or another official United Nations language is an advantage.
