It provides humanitarian assistance, promotes respect for international humanitarian law and works with authorities and Red Cross and Red Crescent partners around the world.

JOB SUMMARY:

The Administrative Assistant provides secretarial and administrative support to the ICRC Abuja Delegation and serves as an Information Management focal point.

The role supports correspondence, records and document management, visitor reception, information-management activities, meeting coordination, office supplies and other administrative processes. (careers.icrc.org-Administrative-Assistant-1-(800009)-33614/1444887933/))

KEY RESPONSIBILITIES:

1.Welcome visitors, provide relevant information and direct them to the appropriate staff members while maintaining a professional reception service.
2.Answer, screen and redirect incoming telephone calls and respond appropriately to routine enquiries.
3.Participate in the implementation of information-management projects and programmes and support colleagues in understanding and adapting to information-management changes.
4.Receive, sort and distribute incoming paper mail to the appropriate individuals or departments.
5.Prepare outgoing bordereaux and receive and distribute incoming mail while assisting colleagues with bordereaux procedures.
6.Review outgoing correspondence to ensure that ICRC protocols and required procedures are followed.
7.Organize the dispatch of outgoing letters, maintain incoming and outgoing chronological files and ensure acknowledgement of correspondence through the dispatch office.
8.Support compliance with ICRC rules relating to correspondence, document security, archiving and appropriate use of standard computer technology.
9.Manage ICRC visual-identity materials and stationery stocks in coordination with relevant departments and sub-delegations, ensuring that supplies comply with applicable visual-identity requirements.
10.Support the Information Management team with daily administrative activities, including agenda preparation, meeting coordination, VIP visit arrangements, contact management, document compilation and drafting of simple correspondence.
11.Prepare meeting venues, materials and technical equipment, including conference calls, presentations and video-conferencing facilities.
12.Perform general secretarial duties such as photocopying, document destruction, ordering supplies and other routine administrative support activities.
13.Maintain and regularly update the management interlocutors list.
14.Keep knowledge of standard computer technologies and relevant work practices up to date and share useful knowledge with colleagues where required.

REQUIREMENTS:

1.Bachelor's degree in Communications, Business Administration, Computer Science, Social Sciences or a related field.
2.Very good working knowledge of Microsoft Office applications, particularly Word, Excel and PowerPoint.
3.Working knowledge of HCL Notes and SharePoint.
4.Excellent command of English is an advantage.
5.Good capacity-building and knowledge-sharing skills.
6.1–2 years of experience in programme and administrative-related tasks.
7.Strong motivation to work in the humanitarian sector.
8.Ability to work effectively under pressure.
